What is a GRMS, and how is it different from a PMS?
A GRMS (guest room management system) runs the physical room: lights, air conditioning, curtains and sockets, and knows whether the room is occupied. A PMS runs the booking, the guest and the folio. When they are one system, the room learns from the booking when to prepare and when to switch off. Details on GRMS guest room management.

The comparison
| Item | PMS | GRMS |
|---|---|---|
| Runs | The booking, the guest and the folio. | The physical room and its devices. |
| Knows | Who should be in the room. | Whether anyone is actually in the room. |
| Used by | Reception, accounting and management. | Maintenance, housekeeping, and the guest in the room. |
Why one system
- At checkout the room knows at once that it is vacant, and switches off what is not needed.
- The room’s status at reception is its status in the room, with no sync between two programs.
- Room-device faults open maintenance tickets in the same system.
