GRMS: guest room management

A guest room management system (GRMS) connects the physical room to the hotel’s software. iHotel’s GRMS knows whether a room is occupied or vacant, controls lights, air conditioning, curtains and sockets, cuts power the vacant room does not need, and restores the room when the guest returns. It is part of the PMS, not a separate program.

What the room controls

Lights and dimmers, air conditioning, curtains and blinds, sockets and fans, and the room’s main power contactor. The front desk sees each room’s status as it changes.

Vacancy and presence

When a room becomes vacant, the power it does not need is switched off. When the guest returns, the room’s state is restored, not reset. The refrigerator, the safe and the essential air conditioning stay powered. After a power cut, the room learns its state again once the power returns and resynchronises with the system.

Scenes and schedules

A scene can run on an event, such as the room door opening, or at a set time, and each room type can have its own scene. A room’s system scene never switches the circuit that carries its essential power.

Safety in the room

The front desk can lock a room down for security. The in-room panic button works even with do-not-disturb on and during power save.

Door locks and key cards

The card and the lock are part of the room. Reception issues guest, staff and master cards from the desk, and the supported lock models are listed on hotel door locks and key cards.

Each room’s electricity

The system meters each room between two readings, costs it at the hotel’s tariff, and never shows a reading it does not trust. Details on hotel energy management.

Systems already in the rooms

iHotel connects to room control systems through the providers of those systems. The supported models are confirmed before installation. Some of these systems depend on their provider’s cloud, and we say so before a contract, not after.

Questions

Common questions on this topic

What is the difference between GRMS and a PMS?

A PMS manages reservations, guests and accounts. A GRMS manages the physical room: lights, air conditioning and vacancy. In iHotel they run as one system, so the room’s status at the front desk is the same as its status in the room.

Does GRMS work without internet?

The server inside the hotel controls the rooms. Some room control systems depend on their provider’s cloud, and we confirm that for each system before installation.

Can any room control system be connected?

No. Connection depends on the system already in your rooms, and the supported models are confirmed during the site survey.
